AptaBook ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered scheduling and customer engagement platform and related services (the "Service"). Please read this policy carefully.

2. Information We Collect

We may collect information that you provide directly to us, including account information (name, email address, password, organization name); business information (services, locations, providers, calendars); customer and appointment data that you upload or that is generated through the Service; and communications and support requests. We also automatically collect certain technical data, such as IP address, browser type, device information, and usage data when you access the Service.

3. How We Use Your Information

We use the information we collect to provide, maintain, and improve the Service; to process transactions; to send you administrative and product-related communications; to respond to your inquiries; to enforce our terms; and to comply with applicable law. We may also use aggregated or de-identified data for analytics and product improvement.

4. Information Sharing and Disclosure

We do not sell your personal information. We may share your information with service providers who assist us in operating our business (e.g., hosting, analytics, telecommunications, customer support), with your consent, or when required by law. We require such providers to protect your information consistent with this policy and to use it only to perform services on our behalf.

SMS and mobile messaging: We do not share, sell, rent, or otherwise provide your mobile phone number, SMS opt-in data, or messaging consent information to any third parties or affiliates for their own marketing or promotional purposes.

5. SMS Text Messaging Program

AptaBook enables service businesses using our platform to send and receive text messages with their customers for customer care and transactional purposes, such as answering questions, booking appointments, sending appointment confirmations, reminders, and related service updates. If you choose to receive text messages from a business that uses AptaBook, we and that business may collect and use your mobile phone number and message content to deliver and improve those messages. Message frequency varies. Message and data rates may apply. You may opt out by replying STOP; for help, reply HELP. After you opt out, we will send a one-time confirmation and no further marketing or non-essential messages will be sent unless you opt in again.

6. Data Security

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. Data is encrypted in transit and at rest. Access to personal data is limited to authorized personnel.

7. Data Retention

We retain your information for as long as your account is active or as needed to provide the Service and fulfill the purposes described in this policy. We may retain certain information as required by law or for legitimate business purposes.

8. Your Rights

Depending on your location, you may have rights to access, correct, delete, or port your personal information, or to object to or restrict certain processing. To exercise these rights, contact us at support@aptabook.com. You may also unsubscribe from marketing emails at any time.

EEA/UK (GDPR): Where GDPR applies, you may also have the right to withdraw consent, lodge a complaint with a supervisory authority, and request information about international transfers. We process personal data to perform our contract with you, to pursue legitimate interests in operating and securing the Service, and where required by law.

California (CCPA/CPRA): California residents may request to know, delete, or correct personal information, and to opt out of certain sharing. We do not sell personal information as that term is commonly understood. To submit a request, email support@aptabook.com.

9. Subprocessors and third-party services

We use vetted service providers to operate AptaBook. Categories include cloud hosting, databases and object storage, email and SMS delivery, telephony and messaging APIs, analytics, payment processing, and AI model providers used to generate agent responses. Providers process data only to deliver services to us and under contractual confidentiality and security obligations. 10. International transfers and residency

AptaBook serves customers in the United States, Canada, and India. Data may be processed in the United States or other regions where our providers operate. Where contracts require a specific residency option, we will confirm available regions before you put regulated data on a live channel.

11. Children

The Service is directed to businesses and is not intended for children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us so we can delete it.

12. Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised policy and update the "Last updated" date. Material changes may also be communicated by email or in-product notice when appropriate.
